Information on submitting COIs during planned system maintenance
The maintenance affects Certificates of Inspection (COIs) submitted between 16:00hrs on Friday 6th October and Sunday 8th October 2023.
We will be experiencing routine maintenance to our internal operating systems. This means the COI team will be unable to access some internal files during this period.
If you intend to submit COI’s after 16:00hrs on Friday 6th October we will require prior notification no later than 17:00hrs on Wednesday 4th October 2023. This is so the team can gather and record the information required to carry out our checks, necessary to issue certificates of inspection. The information we will require is below, please send this to coi@soilassociation.org.

Name and license number of the exporter (listed in box 5 of the COI).

Name and license number of the producer/ preparer of the product (listed in box 4 of the COI) or the name of the certifying body is the producer is not certified by Soil Association

Date of expected COI submission.

Number of expected COI submissions.

Expected date/time of export out of GB.
Therefore, if you intend to submit COI’s between 16:00hrs on Friday 6th October and Sunday 8th October 2023 and you anticipate the consignment leaving GB before Tuesday AM 10th October 2023 we will require the information above, in order to allow the COI team the time to review your submitted COI’s and address any necessary amendments.
If it is possible, we advise you to delay submitting your COI until Monday 9th October, or submitting it earlier in the week in order to be processed prior to the shutdown.
We will continue to amend net/gross weights, quantities, transport information, seal number and BCP information, along with any previously requested amendments during this time for you. All COI's must be approved before the goods leave GB.
